The new release of DITAToo DITA CMS and the brand new modules for managing workflow and releases are out! This time we’ve decided to change the numbering and call the new release DITAToo 2016 R1 (stands for year 2016, Release 1).

DITAToo 2016 R1 provides fixes to the issues encountered in previous versions, improves performance, includes usability improvements, and introduces new features that enhance the user experience. But most importantly, the new release introduces a new modular architecture that now allows us to offer you complementary modules to meet your growing demands.

Meet two new modules that will help you streamline the content lifecycle and flexibly manage releases:

Workflow Manager

When you work with content, it goes through various states, from initial authoring to review to translation to publishing. Each state may imply certain actions to be triggered and limitations to be imposed. For example, if you have a state that represents a topic in a final approved stage, you might not want anyone to modify the topic. Similarly, when a topic is in a review state, you may want an email notification to be sent to the documentation manager or to the reviewer.

With Workflow Manager for DITAToo DITA CMS, you can:

  • Define states of your content lifecycle
  • Specify actions that DITAToo DITA CMS should automatically perform once the file is moved to this state
  • Specify actions that should be prohibited while the file is in this state
  • Move any file, including an individual topic, set of individual topics, or an entire project, to any state
  • Assign a file to a DITAToo DITA CMS user
  • Search by workflow state
  • View files assigned to yourself as well as to other users

Baseline Manager

Consider the following scenarios:

  • You need to send a project for translation. However, your company is preparing a new release of the product, and you have to document new features. Therefore, you have to keep working on the content while it’s being translated. A potential problem that arises is that when you get the project back from the translation agency, the project in the source language will be several versions ahead by then. The translated project will reflect the past state of the project and will be unsynchronized with the content in the source language.
  • You have a budget for translating your project to Spanish and German. A few months later, you get an additional budget for Dutch and Italian. However, you worked on the content in the source language during this time. You cannot send the project for the additional translation as it is now. Instead, the project as it was several months ago, when it was translated to Spanish and German, should be sent for translation.
  • Last year, Release 1.0 of your product was rolled out to your customers. This year, Release 2.0 is made available. However, not all of your customers want to upgrade to Release 2.0. Some of them prefer to stay with Release 1.0. At some point, a customer with Release 1.0 submits a bug or feature request whose fix or implementation require an update in the documentation for Release 1.0. The current content cannot be updated because it represents Release 2.0. Instead, the project as it was last year should be updated.
  • As a variation of the previous scenario, you might want to introduce a new output format for your documentation and publish the user guide for last year’s Release 1.0 in that new format.

In all the scenarios above, you need to create a snapshot of the project which reflects the state of the project at a certain moment of time and have an ability to use that snapshot for translations, modifications, and publishing.

Baseline Manager for DITAToo DITA CMS lets you create a project snapshot, known as baseline. You can create as many baselines for the project as you need. For example, you might want to create a separate baseline for each release of your product.

Once a baseline is created, you can retrieve it at any time for download, publish, or translations.
